If you're planning a group vacation to Costa Rica, one of the biggest decisions you'll make is where everyone will stay. Should you book several hotel rooms, or would a large private villa be a better choice?
After working with travelers coming to Costa Rica for five years and helping organize vacations for hundreds of guests, I've found there isn't one answer that works for every group. The better choice depends largely on how you want to experience your vacation.
The biggest question I recommend asking is surprisingly simple: Do you want everyone to stay together, or do you want more separation during the trip?
If your group wants to spend time together, share meals, relax in the same spaces, and enjoy Costa Rica at your own pace, a large private villa can be an excellent choice. If you'd rather have your own hotel room, enjoy more separation, and meet up with the group at certain times, a hotel may be the better option. Here's how I look at the differences after helping hundreds of travelers experience Costa Rica.
Why a private villa can be better for large groups
One of the biggest advantages of a private villa is that your group can actually be together. That sounds simple, but it makes a surprisingly big difference in how a vacation feels.
At a hotel, your group might have several rooms spread throughout a property. You may have to text everyone to figure out where they are, wait for people to come downstairs, or coordinate a meeting place before heading out for the day. In a large private villa, the common areas become the natural gathering place.
Some people might wake up early and have coffee together while others sleep in. As everyone gets up and gets ready, it's easy to talk about the day's plans and let everyone know what's happening. Nobody has to feel like they're intruding on another guest's space. You're simply with your group. That creates a more relaxed atmosphere that many of our guests really appreciate.
A more relaxed and authentic group experience
One thing I've noticed over and over is that people staying in a large private villa tend to settle into a different rhythm. There's less of a feeling that you have to be somewhere at a particular time just because the hotel has a schedule.
You can wake up naturally. You can sit together and talk. You can spend an afternoon enjoying the property. You can have dinner together without worrying about whether there's a table available for your entire group. You essentially have your own space to enjoy Costa Rica together.
That's especially valuable when you're traveling with people you don't see every day. A family vacation isn't necessarily about seeing as many attractions as possible. Sometimes the best memories come from sitting around together, talking, laughing, watching the kids, or simply enjoying the view. Costa Rica gives you plenty of opportunities for adventure, but you don't have to spend every minute traveling to the next attraction. Sometimes it's perfectly fine to slow down.
Why villas work especially well for multigenerational families
In my experience, multigenerational families are some of the best candidates for a large private villa. Think about a group that includes children, parents, and grandparents. Not everyone is going to have the same energy level or want to do the same activities every day. A private villa gives everyone the flexibility to participate at their own pace.
The kids might be interested in exploring the property and looking for animals. Parents might want to sit and relax. Grandparents might prefer to enjoy the scenery without spending the entire day traveling. Everyone can still be together without everyone having to do the exact same thing. That's one of the things I really like about a large private villa for families. You don't have to choose between being together and having some personal downtime. You can have both.
Villas can also be great for corporate retreats
Private villas aren't just for family vacations. They can also work extremely well for corporate retreats and other group trips where people want a combination of organized activities and downtime.
A group might spend the day on an excursion, exploring Costa Rica or participating in team activities. Then, instead of everyone disappearing into separate hotel rooms at the end of the day, they can come back together and relax in the common areas. That creates opportunities for conversations and connections that don't necessarily happen when everyone is staying in separate hotel rooms. For a corporate retreat, that togetherness can be a significant part of the value of the trip.
The cost difference can be significant for larger groups
Another major consideration is cost. When comparing a private villa with a hotel, I recommend looking at the total cost rather than simply comparing the advertised nightly rate.
At a hotel, you're generally paying for individual rooms. If you have a group of 15, 20, or 25 people, that can mean paying for a lot of separate rooms. With a private villa, the price is typically for the entire property. You also need to consider additional costs that can be overlooked when comparing accommodations, including fees and tips that may be expected at hotels.
For smaller groups, a hotel can absolutely make more financial sense. In my experience, a rough guideline is:
- Groups of four or fewer will often find a hotel is more cost-effective.
- Groups of roughly 8 to 30 people can often get better value from a large private villa with enough bedrooms for everyone.
- Groups above 30 people will find it much harder to fit comfortably in one villa, making hotels a more realistic option.
Of course, every property and group is different, so I always recommend comparing the complete cost rather than assuming one option is automatically cheaper.
You don't necessarily give up service by choosing a villa
One misconception I hear is that choosing a private villa means giving up the convenience of hotel-style services. That's not necessarily true. Hotels certainly have advantages — concierge services, transportation, restaurants, and other amenities can make a hotel stay extremely convenient. But some large vacation villas and private resorts offer concierge services and transportation as well.

The choice isn't always between a highly serviced hotel and a villa where you're completely on your own. Depending on the property, you can have privacy and group togetherness while still having access to services that make your trip easier.
One of the biggest villa advantages: meals on your schedule
Another benefit of a private property is flexibility around meals. At Bella Vista, meals are available for guests at an additional cost, but guests can choose when they want those meals prepared. That flexibility can be particularly useful for groups with excursions planned.
If you're leaving early for an adventure, you can arrange to have breakfast earlier so everyone can eat and head out when they're ready. You're not trying to coordinate 15 or 20 people around a restaurant's breakfast hours or wait for a table large enough for the entire group. And when you return, you have your own space to relax together. For a large group, those seemingly small conveniences make a substantial difference.
When a hotel is the better choice
As much as I like private villas for larger groups, I don't recommend them automatically. There are plenty of situations where a hotel makes more sense.
If you're traveling with a small group, particularly four people or fewer, a hotel may be more economical and convenient. A hotel can also be the better choice if you specifically want the traditional hotel experience. Some travelers like having their own room and their own space. They don't necessarily want to spend every part of the vacation with the rest of their group. That's completely reasonable. If you want to get together for breakfast, go on an excursion together, and then retreat to your own room for the evening, a hotel may be exactly what you're looking for.
Hotels also tend to be better suited for very large events. Some hotels have event spaces capable of hosting 100 or more people — something you generally won't find at a large vacation villa. Bella Vista can accommodate wedding parties of up to about 80 guests, but once your group gets into the 100-person range or beyond, hotels and dedicated event properties become much more realistic options.
Don't assume a Costa Rica villa is the same as a villa in the United States
There is one important expectation I always want travelers to have. A large vacation villa in Costa Rica isn't necessarily going to operate exactly like a large luxury home in the United States. Costa Rica is an incredibly beautiful country, but its infrastructure isn't as advanced in every area as what travelers may be accustomed to.
For example, power outages can happen, particularly during bad weather. They're usually resolved relatively quickly, but they're more common than many American travelers are used to. This isn't exclusively a villa issue — hotels can experience outages too. However, larger hotels are often more likely to have backup generators, so outages may be less noticeable. It's simply something to understand before you arrive. Having realistic expectations is one of the best ways to enjoy your Costa Rica vacation.
And yes, you may see some critters
Costa Rica is one of the most biodiverse countries in the world, home to an extraordinary variety of wildlife. That means you might encounter creatures around the grounds of a hotel or private resort that you wouldn't normally see at home. Occasionally, a little critter may even find its way inside. Don't panic — the staff at reputable properties are accustomed to these situations and can usually take care of it quickly. It's better to understand this before your trip than to be surprised by it. You're visiting a country where nature is a huge part of the experience.

What will your typical day look like?
One of the easiest ways to decide between a villa and a hotel is to imagine a typical day. At a large private villa, the day can unfold naturally. Some people wake up early. Others sleep in. Some might enjoy the amenities on the property — taking a morning swim or a stroll around the grounds. Others might play a 2-on-2 game on one of the private pickleball courts. Eventually, some people start gathering in the common areas to talk about the day's plans. Then others join in as they get ready. There's no need to knock on everyone's hotel room door, figure out which part of the property everyone is in, or send out group texts trying to coordinate with people spread all over the hotel grounds.
At a hotel, your group may be spread throughout different rooms and floors, and meeting up can require more coordination — and a gathering area big enough for the whole group. Neither experience is inherently better. They're simply different. The question is which one sounds like it would be a better fit for your group.
So, which is better: a private villa or a hotel?
After five years of helping travelers plan Costa Rica vacations, my answer comes down to one fundamental question: Do you want to stay together?
If your group is large and you enjoy togetherness, I'd strongly consider a private villa. A villa can give you:
- More privacy and more shared space
- A more relaxed pace and easier group communication
- Shared meals without waiting for a large restaurant table
- Potentially lower per-person cost for larger groups
- A comfortable environment for multigenerational families
- A great setting for corporate retreats and celebrations
If your group is smaller, you prefer more independence, or you specifically want the hotel experience, choose the hotel. A hotel can give you more separation and personal space, traditional services and amenities, easier options for very large events, and potentially better value for smaller groups.
Neither option is universally better. The right choice depends on what your group wants from the vacation.
The question I recommend asking before you book
If you take nothing else away from this article, ask your group this: Do we want to all stay together, or do we want to be more separated during the trip?
If you want to stay together, get to know each other better, share meals, and enjoy Costa Rica at a more leisurely pace, I believe a private villa is often the better choice. If you want more separation or the traditional hotel experience, a hotel may be the better fit.
